ChatGPT at work in Zambia: 10 tasks your team can do faster this week

Staff in Zambia can use free tools like ChatGPT, Gemini and Meta AI, on a phone, to write reports, reply to customers, take minutes, draft letters and summarise documents faster, as long as they keep NRCs, account numbers and other personal data out. Here are ten tasks, with prompts to copy.

Most of the value of AI at work isn't in anything clever. It's in the ordinary tasks that fill a week: the report, the reply, the letter, the minutes. Here are ten, with a prompt your staff can copy and adapt. All of them work in free tools like ChatGPT, Gemini or Meta AI, on a phone.

Start with the rule that matters most.

First: what never goes into a public AI tool

Before anyone pastes anything, agree what stays out:

• NRC numbers, passport numbers and dates of birth
• Customer account numbers, card details and balances
• Salaries and staff disciplinary records
• Patient or student records
• Anything marked confidential

Replace names and numbers with placeholders ("Customer A", "K[amount]") before you paste. The AI doesn't need them to write the letter.

10 tasks, with prompts

1. Turn notes into a weekly report.

Here are my rough notes for the week. Write them as a short report for my manager: what was done, what is late and why, and what I need. Keep it under 200 words.

2. Reply to a customer complaint.

A customer is upset that their delivery was two days late. Write a polite WhatsApp reply that apologises, explains we had a transport delay, and offers to deliver by Friday. Friendly, not formal. Under 60 words.

3. Write minutes from a meeting.

Here are my notes from today's meeting. Turn them into minutes with: decisions made, actions with the person responsible and the date, and open questions.

4. Draft a letter to a supplier or a government office.

Write a formal letter requesting an extension of the deadline for our annual return by two weeks, because our accounts are still being audited. Polite, short, standard Zambian business letter format.

5. Summarise a long document.

Summarise this document in 5 bullet points a busy manager can read in one minute. Then list anything that needs a decision.

6. Explain a spreadsheet formula.

I have sales in column B and costs in column C. Write an Excel formula for profit margin as a percentage in column D, and explain it in one sentence.

7. Prepare a quote or proposal.

Write a one-page quote for supplying 20 office chairs at K[price] each, delivery included in Lusaka, valid for 30 days, payable by mobile money or bank transfer.

8. Translate for customers.

Translate this message into simple Nyanja: "Your order is ready for collection at our Cairo Road shop from 9am to 5pm."

Check translations with a fluent speaker before sending anything important. Quality in Zambian languages varies.

9. Prepare for a difficult conversation.

I need to tell a client their payment is 60 days late without damaging the relationship. Give me three ways to open the conversation and what to say if they get defensive.

10. Write a job advert.

Write a job advert for a receptionist at a clinic in Kitwe. Include duties, requirements and how to apply. Plain English, under 150 words.

ChatGPT training for your team
